GENERAL DESCRIPTION:

Under the direction of the Executive Director of Financial Services, the employee in this position will perform intermediate technical work that consists of managing the accounts payable and accounts receivable processes.  This responsibility includes the ability to review, investigate, process and reconcile a wide variety of accounting documents such as invoices, purchasing card statements, departmental billings, employee reimbursements, cash receipts, vendor statements, and journal vouchers.  Work is performed by applying knowledge of accounting terminology and using spreadsheets and/or automated accounting systems.  This position requires the employee to complete transactions with a high degree of accuracy.

 

RESPONSIBILITIES:

I.   Major Duties and Responsibilities
     A.  Process a wide variety of accounts payable transactions ensuring that payments are made in accordance with contract            terms, established policies, procedures, and regulations.  This includes, but is not limited to:
              i.      Reconciliation of vendor statements to resolve billing and statement discrepancies;
              ii.     Investigation and resolution of invoice errors, nonpayment of invoices and other types of accounts payable errors
              iii.    Verification of invoice authorization prior to payment;
              iv.    Maintain accurate vendor information;
              v.     Post, print and mailing of all checks;
              vi.    Maintenance of organized filing of all payment documents
     B.     Print, send, review and organize all District purchase orders.
     C.     Receive, reconcile and enter deposit information into the District’s point of sale and accounting systems
     D.     Process a variety of accounts receivable functions such as preparation of invoices, reconciliation of payments, analyze discrepancies monitors outstanding receivables and takes authorized steps in collections
     E.     Maintains and processes periodic replenishments related to petty cash; reconciles bank accounts and revolving accounts monthly
     F.     Assist in month end processing and reporting
     G.      Prepares and maintains a variety of financial and statistical information related to assigned activities; prepares a variety of special financial, payroll, and budgetary reports as needed
     H.     Provides assistance, assembles information, and responds to requests regarding financial, budget, or payroll information
     I.     Serves as a backup to other Accounting Department positions and performs related duties as assigned
 

II.  Knowledge and Skills
     A.     High School Diploma or equivalent required.

     B.      Completion of college level accounting or bookkeeping coursework preferred.

     C.      Five (5) years governmental and/or school district Accounts Payable, Accounts Receivable and/or other related accounting experience.

     D.     Proven ability to work independently; effectively performs as a self-starter, uses independent decision making appropriately. 

     E.      Exercises confidentiality and displays loyalty and integrity.  Demonstrates the understanding of confidentiality in working with staff.

     F.      Outstanding written, verbal and customer service skills (over the phone, in person and e-mail) when dealing with a wide variety of individuals.

     G.     Demonstrated intermediate to advanced computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs, and email at a highly proficient level.

     H.     Able to handle frequent interruptions while carrying out assignment in a pleasant and professional manner.

     I.        Proven ability to positively participate in a fast-paced team environment.

     J.        Portrays positive attitude, initiative and responsibility.

     K.     Understands and carries out oral and written directions efficiently and effectively.

     L.      Successfully handles changes in assignments and functions effectively with a demanding work load.

     M.    Valid Washington State Driver’s license.

IV.  Physical Demands
The usual and customary methods of performing the job’s functions require the following physical demands:

A.     Ability to lift, carry, push, and/or pull up to 25 pounds.

B.     Some stooping; minimal kneeling, crouching, and/or crawling

C.     Significant fine finger dexterity

D.     Generally this job requires 80% sitting, 10% walking, and 10% standing
