Purpose:
The job of the Eastmont High School Counseling Registrar is to oversee the enrollment registration process for all new and returning students and maintain all transcripts. The Registrar maintains accurate and confidential student records, including grades, transcripts, and personal information to ensure compliance with District, State, and Federal guidelines.
Duties:
- Serves as confidential secretary to the high school counseling department, including keeping track of schedules, appointments, and counseling calendar when needed.
- Has access to and processes confidential information regarding students, staff, and school district issues while observing data privacy requirements.
- Assists counselors and administration in developing the master schedule as needed.
- Compiles student records (i.e. birth certificates, transcripts, transfers, immunization, etc.) for the purpose of meeting State, Federal and/or District requirements.
- Verifies incoming student-related data (i.e. grades, information, etc.) to ensure the accuracy of the student records.
- Responds to questions from a variety of internal and external sources (staff, other educational institutions, the public, parents and/or students, etc.) to provide information and/or direction.
- Attends in-service meetings, workshops, and/or seminars as assigned to to gather information required to perform and improve job functions.
- Handles changes in assignments and functions effectively with a demanding workload.
- Functions productively in a quiet setting performing a heavy dose of data entry work.
- Exercises confidentiality and displays loyalty and integrity to the organization.
- Displays an excellent pattern of attendance and punctuality.
- Has the ability or has access for translation/interpretation of Spanish; both verbally and in writing.
- Provides a variety of documents (i.e. transcripts, ACT scores, college applications, etc.) for the purpose of assisting present and former students and/or their parents as needed.
- Researches discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information.
- Successfully handles changes in assignments and functions effectively with a demanding work load.
- Exercises confidentiality and displays loyalty and integrity.
- Excellent attendance and punctuality a must.
- Ability to translate/interpret Spanish; both verbally and in writing
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Professional Qualifications:
- High School Graduate or equivalent
- Three (3) years preferred in a secretarial/administrative support position, preferably in a K-12 environment.
- Has a thorough knowledge of business English, spelling, Math and customer service skills (both over the phone and in-person)
- Proven ability to work independently; effectively performs as a self-starter, using independent decision making appropriately. Understands the importance of confidentiality in working with staff, students and parents.
- Demonstrated ability to relate to and work effectively with students, staff, parents, community, officials, and other school districts on a regular basis.
- Demonstrated skills in appropriate software applications (i.e. MS Word, MS Excel, Google Suite, Qmlativ), and ability to learn new software/hardware as needed.
- Outstanding written, verbal and customer service skills (both over the phone and in person).
- Proven ability to positively and calmly participate and adapt in a fast-paced team environment.
- Ability to handle frequent interruptions while carrying out assignment in a pleasant and professional manner.
- Ability to perform duties in an efficient and organized manner.
- Portrays positive attitude, initiative and responsibility to the EHS staff.
- Understands and carries out oral and written directions efficiently and effectively.
- Supports and implements Eastmont School District policies, regulations, procedures and administrative directives.
- Deals with obstacles and constraints positively and the ability to use new approaches as situations arise.
- Demonstrates ability to adjust to and use new approaches in the performance of his/her duties.
- Seeks and takes advantage of opportunities for professional growth.
- Maintains dress and appearance appropriate to a professional office setting.
- Promotes good staff morale and works harmoniously with fellow EHS staff.
- Bilingual preferred.
Physical Requirements:
The usual and customary methods of performing the job’s functions require the following physical demands:
- Minimal lifting, carrying, pushing, and/or pulling
- Ability to lift 30 lbs.
- Minimal stooping, kneeling, crouching, and/or crawling
- Significant fine finger dexterity
- Generally this job requires 70% sitting, 10% walking, and 20% standing
